WeWork South Africa Event Space Policy
This policy outlines the terms and conditions for booking and using WeWork South Africa's event spaces. By booking an event space, the client (referred to as the "Event Holder") agrees to abide by these rules and regulations.
1. Booking and Reservation
Booking Process: Event spaces must be booked in advance through the WeWork app, the WeWork Member Network, or by contacting the local Community Management team.
Availability: Bookings are subject to space availability and operating hours of the specific WeWork location. We recommend booking well in advance to secure your desired date and time.
Event Type: The Event Holder must provide a detailed description of the event, including its purpose, expected number of attendees, and any special requirements. WeWork reserves the right to decline any event that is not in line with our community guidelines or is deemed inappropriate.
2. Guest and Attendee Policy
Guest List: The Event Holder must provide a final guest list (including first and last names) to the Community Management team no later than 24 hours prior to the event. Only individuals on this list will be granted entry.
Check-in: All guests are required to check in at the front desk upon arrival and may be asked to present a valid government-issued photo ID.
Host Presence: The Event Holder or a designated representative must be present on-site before guest arrival and throughout the duration of the event booking.
Access: Guests are permitted to access the building and the designated event space only for the duration of the booked event. They are not permitted to use other common areas, amenities (e.g., phone booths, lounges), or private offices unless a separate booking has been made for these spaces.
Capacity: The number of guests is strictly limited to the specified capacity of the booked event space.
3. Event Rules and Conduct
Community Respect: The Event Holder and all guests must act in a respectful manner and be mindful of other WeWork members who are working. Activities that are disruptive, damaging, or dangerous are strictly prohibited.
Prohibited Activities: The following activities are strictly prohibited in all WeWork spaces:
- Illegal or offensive activities.
- The use of weapons or any dangerous materials.
- Smoking or vaping (except in designated outdoor areas).
- Activities that place excessive strain on the building's electrical, IT, or HVAC systems without prior approval.
- Any form of discrimination or harassment.
Decorations: Any decorations must be temporary and not cause any damage to the walls, floors, or furniture. The use of tape, nails, tacks, or any other items that may leave a permanent mark is not permitted. All decorations must be removed at the conclusion of the event.
Sound and Noise: Music and sound systems are permitted but must be kept at a reasonable volume to avoid disturbing other members. The WeWork Community Management team reserves the right to ask for a reduction in volume at any time.
4. Equipment and Services
Included Equipment: The booking fee includes the use of standard equipment provided in the event space (e.g., A/V equipment, projector, whiteboard). The Event Holder is responsible for ensuring the equipment is in good working order before and after the event.
Damages: The Event Holder will be held financially responsible for any damage to the event space, furniture, or equipment caused by themselves, their guests, or third-party vendors.
Catering and Vendors: The Event Holder is permitted to use third-party caterers and vendors, but they must be approved by the Events Manager and Community team in advance. All vendors must adhere to WeWork's security and safety policies.
Alcohol: The serving of alcoholic beverages is subject to the specific licensing and policies of each WeWork location and must be approved in advance by the Community Management team.
5. Cancellation and Refunds
Cancellation Window: Event bookings can be canceled for a full refund if canceled at least 24 hours prior to the booking start time.
Late Cancellations: Cancellations made less than 24 hours before the event will not be eligible for a refund.
Rescheduling: Rescheduling an event is subject to availability and may incur additional fees.
6. Liability and Indemnity
Responsibility: The Event Holder is responsible for the conduct of all attendees and vendors and for ensuring compliance with this policy.
Personal Property: WeWork is not responsible for any lost, stolen, or damaged personal property of the Event Holder, their guests, or vendors.
Indemnity: The Event Holder agrees to indemnify and hold WeWork harmless from any claims, liabilities, damages, or expenses arising from the event, including any breach of this policy.
